Google Workspace has no built-in per-user signature templates. An administrator can only append the same text to all messages, and each employee edits their own signature. For a consistent signature with each person's name, title and phone, you need a tool that writes the signature into every user's settings through the Gmail API.
Why does a consistent email signature matter?
A signature is part of every message that leaves the company. When everyone designs their own, you quickly end up with ten versions: an old logo, a wrong phone number, a job title that no longer applies, or no signature at all. A consistent signature means:
- Correct details — title, department and phone come from the directory, not from memory.
- One brand — the same logo, colours and font for everyone.
- Legal notice — where you need one, it is everywhere and in the same form.
- Less work — no need to ask anyone to fix their signature after a new hire or a promotion.
Can Google Workspace set a signature for all users on its own?
Not fully. The Admin console can append the same footer to every message, but it cannot set a personal signature with each employee's name, title and phone. That needs a tool or script that uses the Gmail API. There are three options:
1. A signature each user edits
In Gmail (Settings → General → Signature) every user sets their own signature. The administrator has no control over it, so the result depends on each person.
2. A footer for all outgoing mail
In the Admin console (Apps → Google Workspace → Gmail → Compliance → Append footer) an administrator can add text appended to outgoing messages. That suits a legal notice, but it is not a signature: the text is the same for everyone, cannot contain a person's name or phone, and is added below the quoted text in replies.
3. The Gmail API
The admin footer and its limits are covered in Google Workspace email footer vs. signature; the three ways to set one signature for everyone are compared in Company-wide Gmail signature for all users.
Google lets an application with administrator authorization (a service account with domain-wide delegation) write the signature into every user's settings. It is the only way to give everyone a real, personal signature — and it is how every signature management tool for Google Workspace works.
| Option | Personal details | Consistent look | No work for employees |
|---|---|---|---|
| Everyone edits their own | yes, by hand | no | no |
| Footer in the Admin console | no | yes | yes |
| Tool using the Gmail API | yes, from the directory | yes | yes |
How it works with SignetMail
We tested the Google Workspace integration on a real tenant: Google sign-in to the portal, reading the directory, pushing signatures to Gmail and updating them when details change. The service account setup is described step by step in Gmail signatures through the Gmail API, and other tools are compared in Email signature software for Google Workspace.
- Connect the directory. The server reads users, groups and departments from the Google Admin SDK (read-only).
- Design the signature. In the portal you pick a layout, logo and colours, or write your own HTML. The preview shows the signature for anyone in the directory.
- Rules. Decide who gets which signature: everyone, groups, departments or individuals, optionally with start and end dates (for example for a campaign banner).
- Publish. The server writes the signature into each user's Gmail settings. Changes show up within minutes; nothing is installed on employees' computers.
Security: the gmail.settings.basic scope only allows changing settings, not reading mail. The directory is read-only.
What should you watch for with Gmail signatures?
- Length: Gmail accepts signatures up to 10,000 characters of HTML.
- Styles: Gmail removes
<style>blocks, so styles must be inline. SignetMail templates are built that way. - Images: host the logo on a public HTTPS address with a set width. Do not embed images as base64.
- Replies: Gmail has no separate short signature for replies; users can choose to place the signature above the quoted text.
- Aliases: decide whether you also need signatures for extra addresses (Send mail as). SignetMail sets the primary address.
Frequently asked questions
Can employees still change their signature?
They can, but SignetMail sets it again on the next template change or when you re-publish. It stays consistent without locking settings.
What about companies with both Microsoft 365 and Google Workspace?
The portal and templates are the same. One installation uses one directory, so you need two installations for both.
Can I apply an email signature for all users from the Google Admin console?
Not a personal one. The Admin console can only append the same footer to every outgoing message (Apps → Google Workspace → Gmail → Compliance → Append footer). A company-wide signature with each person's name, title and phone needs a signature management tool that uses the Gmail API — this is also what people mean by G Suite email signature management.
Does this work for G Suite?
Yes. G Suite is the former name of Google Workspace; the Admin console and the Gmail API are the same.
How much does it cost?
