A consistent Gmail signature with each employee's own details needs a tool that writes the signature into Gmail settings (through the Gmail API) or adds it in the mail flow. If you only use Google Workspace, Google-only tools fit. If you also run Microsoft 365, pick a tool that supports both. If the data must stay on your own server, SignetMail is the only option below that allows it.

Which tools manage Gmail signatures in Google Workspace?
| Tool | Also Microsoft 365 | How the signature reaches Gmail | Where it runs |
|---|---|---|---|
| SignetMail | yes | The server writes the signature into Gmail settings (Gmail API); mail flow is unchanged. | Your own server (Docker, Windows) or EU hosting. |
| Exclaimer | yes | On the device (visible while composing), in the cloud after sending, or hybrid. | Vendor's service. |
| WiseStamp | yes | Set in Gmail; server-side option on higher plans. | Vendor's service. |
| Signature Satori | no (Google only) | Sets the signature in Gmail without touching mail flow; supports Send As aliases. | Vendor's service (Google Workspace Marketplace). |
| Patronum | no (Google only) | Central template with directory data, targeted by organizational unit or group. | Vendor's service. |
| CodeTwo | yes (core product) | Google Workspace support was announced in 2024; their page gives no release date. | Vendor's service (Microsoft Azure). |
| Admin console footer | — | Same text for everyone in an organizational unit, added on the server. | Google (built in). |
How do you choose a Gmail signature tool?
- Google only, or Microsoft 365 too? Companies with both (for example after an acquisition) need a tool that handles both, or they maintain two templates in two tools.
- Does the user see the signature while writing? If the tool writes into Gmail settings, the user sees it while writing. If it is added in the mail flow, it only shows in Sent items, but it works in every app.
- Can you change mail flow? Server-side solutions in the mail flow need routing and SPF changes. Gmail API solutions do not reroute mail.
- Where is the data? Most tools are the vendor's cloud service. If directory data must stay on your infrastructure, you need a tool you can install yourself.
- What else do you need? Campaign banners, rules by group, an audit log and separate reply signatures are not offered by every tool to the same extent.
When is SignetMail a good fit?
When you run Google Workspace, Microsoft 365 or both and want one place to manage signatures, when you want to install the server yourself or use EU hosting, and when a product in public beta that is free during the beta works for you. Setting SignetMail up for Gmail is described in Gmail signatures through the Gmail API.
Frequently asked questions
Does Google Workspace support central signatures on its own?
Only partly. The Admin console appends the same footer to every message, but it cannot set a personal signature with each person's name, title and phone. See Google Workspace email footer vs. signature.
Is there an email signature tool I can host on my own server?
Yes. SignetMail runs in Docker or as a Windows service; for Gmail signatures it only needs access to the Google APIs. Most other tools for Google Workspace are the vendor's cloud service.
Does CodeTwo support Google Workspace?
CodeTwo announced Google Workspace support in June 2024. At the time of writing their page gives no release date, so check the current status with the vendor.
