A signature banner is a small image or line with a link below the signature, for a trade fair, a webinar or a new service. It works when it is small, carries one message, has an end date and is shown to the right people. Doing that by hand is close to impossible; with a central signature tool you switch it on for chosen departments and it removes itself after the end date.
Why a banner in the signature?
- Reach at no cost. A company with 30 employees sends thousands of messages a month, mostly to existing customers and partners.
- The right audience. Recipients already work with you, so the message is more relevant than an ad.
- No extra work for employees. If a tool adds the banner, nobody copies it by hand.

Seven rules for a good banner
- One message. The trade fair or the new service, not both.
- Short copy. Around eight words and a clear call to action, such as "Register" or "Learn more".
- Small size. No wider than the signature, about 600 × 100 pixels, and under 50 KB.
- Alt text. Many clients don't show images automatically, so give the image a description that says the same thing.
- An end date. A banner for a fair that is already over does more harm than good. Set the date it comes down.
- The right audience. Sales should carry the new-service banner, not accounting writing to suppliers.
- Not in replies. In long threads the banner repeats in every reply. Many tools can show it in new messages only.
How do you measure it?
Add UTM tags to the banner link (for example ?utm_source=email&utm_medium=signature&utm_campaign=fair2026) and watch visits in your website analytics. You see clicks without tracking message opens. Tracking pixels in business email are questionable under GDPR and recipients often block them.
How to do it in SignetMail
- Add the banner in the portal as a campaign. If set up, a second person, such as marketing, approves it before it goes live.
- Choose who gets it: everyone, a department, or a group in the directory.
- Set a start and end date. After the end date the banner disappears from every signature with no extra work.
Frequently asked questions
Does a banner make a message more likely to land in spam?
A small image with text and one link shouldn't. Problems come from large images without text, many links and URL shorteners. Link to your own domain.
Should the banner be an image or text?
Both work. A text banner always shows and is lighter; an image stands out more. If you use an image, give it alt text.
Can different departments have different banners?
Yes, with a central signature tool. Sales can promote the trade fair while support points to a new knowledge base, both at the same time.
